This Privacy Policy explains how GitTrack ("we", "our", or "us"), your Discord bot service, collects, uses, and protects your information when you add our bot to your Discord server and use its features. We are committed to protecting your privacy and ensuring that your data is handled responsibly.

Information We Collect

To provide the core functionality of GitTrack, we collect the following types of information:

  • Discord Server Information:
    • Server ID: To identify your server and store its specific configurations for the bot.
    • Server Name: To help you identify the server in any support interactions or potential future dashboards (though primarily for our internal reference).
  • GitHub Repository Information:
    • Repository URL: To identify the specific GitHub repositories you want to track.
    • Linked Branches: To monitor and send notifications for updates on specific branches within your linked repositories.
  • Usage Data:
    • Messages Sent (Amount): We track the number of notifications or messages sent by the bot to your server. We do not collect or store the content of your Discord messages or any user-to-user communications. This count helps us monitor bot activity and ensure service stability.
  • System and Performance Data:
    • Webhook Event Logs: We log GitHub webhook events (push, pull request, issues, etc.) including event type, processing time, status (success/failure), and technical metadata for system monitoring and debugging purposes.
    • GitHub Webhook Payloads: Full webhook payloads from GitHub are temporarily stored for debugging and system analysis. These contain repository information, commit details, and other GitHub event data but no Discord user data.
    • Error Logs: We log system errors, their severity levels, stack traces, and context information to improve service reliability and troubleshoot issues.
    • Performance Metrics: We collect system performance data including response times, memory usage, and processing statistics to monitor service health and optimize performance.
    • Technical Information: IP addresses, user agents, and other technical data from GitHub webhook requests for security and debugging purposes.

We do not collect personal user data from your Discord server members, such as usernames (beyond what's necessary for command interactions if applicable), email addresses, or any other personally identifiable information not explicitly listed above.

How We Use Your Information

The information we collect is used exclusively for the following purposes:

  • Core Bot Functionality: To enable GitTrack to connect to your specified GitHub repositories, monitor for changes in linked branches, and send relevant notifications to your Discord server.
  • Service Provision and Maintenance: To operate, maintain, and improve the GitTrack service, including troubleshooting issues and ensuring reliable performance.
  • Configuration and Customization: To store your server-specific settings and preferences for the bot's operation.
  • System Monitoring and Analytics: To monitor the usage and health of the bot, including webhook event processing, error tracking, and performance analysis to ensure stability and identify areas for improvement.
  • Debugging and Technical Support: To use logged webhook payloads, error information, and system data to diagnose issues, provide technical support, and improve service reliability.
  • Security and Fraud Prevention: To monitor for unusual activity, prevent abuse, and ensure the security of our service through analysis of technical logs and usage patterns.
  • Performance Optimization: To analyze system performance metrics and optimize service speed, reliability, and resource usage.

Data Sharing and Disclosure

We are committed to keeping your information private. We do not share, sell, rent, or trade your collected information with any third-party companies or external organizations for their marketing or any other purposes.

The only exceptions to this are:

  • Legal Requirements: If required by law, such as in response to a subpoena, court order, or other valid legal process from a recognized authority. We will strive to notify you of such requests unless prohibited by law.
  • Service Providers (Infrastructure): We may use third-party service providers for hosting and infrastructure (e.g., server hosting). These providers are bound by confidentiality agreements and do not have permission to use your data for any purpose other than providing the necessary infrastructure for GitTrack to operate.
  • Protection of Rights: To protect our rights, property, or safety, or the rights, property, or safety of our users or others, if we believe in good faith that disclosure is necessary.

Data Security and Access

We implement reasonable and appropriate security measures designed to protect the information we collect from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. These measures include, but are not limited to, secure data storage and access controls. However, please note that no internet transmission or electronic storage method is 100% secure, and we cannot guarantee absolute security.

Administrative Access: GitTrack administrators have access to logged data through a secure admin dashboard for the purposes of system monitoring, debugging, and technical support. This access is logged and restricted to authorized personnel only. Admin access is used solely for:

  • Monitoring system health and performance
  • Diagnosing and resolving technical issues
  • Providing customer support when requested
  • Analyzing system usage for service improvements

Data Retention

We retain the information we collect for as long as it is necessary to provide the GitTrack service to your server and fulfill the purposes outlined in this Privacy Policy, or as required by law. If you remove GitTrack from your server, or if the service is discontinued, we will take steps to delete your server-specific information within a reasonable timeframe, unless retention is legally required.

Specific retention periods for different types of data:

  • Configuration Data: Server settings, repository links, and branch configurations are retained for the duration of your use of the service and deleted when you remove the bot from your server.
  • Webhook Event Logs: GitHub webhook event logs are retained for up to 90 days for system monitoring and debugging purposes, after which they are automatically purged.
  • Error Logs: System error logs are retained for up to 180 days to enable long-term trend analysis and issue resolution, after which they are automatically purged.
  • Performance Data: System performance metrics are retained for up to 1 year for service optimization and capacity planning purposes.
  • GitHub Webhook Payloads: Full webhook payloads are retained for up to 30 days for debugging purposes and are then automatically deleted or anonymized.

Your Rights

As GitTrack primarily processes server-level configuration data and does not store extensive personal user information, your primary right is to manage the bot's access and data by:

  • Modifying the bot's configurations within your Discord server (e.g., changing linked repositories or branches).
  • Removing GitTrack from your Discord server, which will cease further data collection for that server.
